QUARTERLY CASH MANAGEMENT REPORT INSTRUCTIONS Safe and Drug Free Schools Program (Title IV-A)

Name of School Unit:  Self-explanatory.

Name of Person Completing Form:  Self-explanatory. (Does NOT have to be the person signing the form.)

Address, e-mail, telephone, and fax:  Self-explanatory.

Reporting Period:  Check the box representing the applicable reporting period.

Box A:  Enter the Title IV-A ending balance for the previous reporting period.

Box B:  Enter the total amount of Title IV-A payments received during the current reporting period.

Box C:  (If applicable) Enter the total amount of funds transferred from Title IV-A to other NCLB Titles during the current reporting period. Remember to enter this number as a negative by placing a minus sign in front. Do not include any “REAP” funds in this transfer column. (REAP funds always stay with the original Title.)

Box D:  (If applicable) Enter the total amount of funds transferred to Title IV-A from other NCLB Titles during the current reporting period. Do not include any “REAP” funds in this transfer column. (REAP funds always stay with the original Title.)

Box E:  Enter the total amount of Title IV-A expenditures for the current reporting period.

Box F:  The ending balance will auto-calculate for you. The revised form will now allow a negative amount to be reported as an ending balance.  However, reports submitted for the quarter ending June 30 should seldom, if ever, reflect a negative ending balance as all Title IV-A payments should have been received by this date. (There may be the rare occasion when a school system has not yet received all Title IV-A payments by June 30.  If this occurs we will make the necessary accommodation.)

Title IV-A payments may be suspended If the quarterly cash management report indicates that the school unit has excessive cash on hand. (Excessive cash on hand is defined as more than 25% of the total Title IV-A allocation.) Please schedule your Title IV-A payments so as to avoid excessive cash on hand.

 

The Title IV-A cash management reporting periods are a uniform 3 months coinciding with “traditional” quarters.

 

If the Title IV-A quarterly cash management report is not received in the Office of Substance Abuse by the due dates, ALL grant payments may be withheld in accordance with E.D.G.A.R., 34 CFR, Pt. 80 (12).
